Office Service Clerk (Bilingual Eng/Spa)

The purpose of this position is to assist in the multiple functions of facilities operations which include building maintenance and reception.

Essential Functions & Responsibilities

The essential duties include but are not limited to the following; other duties may be assigned.

  • Aid in the operation and maintenance of the facility which may include performing building maintenance, and minimal janitorial work
  • Oversees maintenance/repair work assignments performed by technicians, vendors and contractors.
  • Travels to Post Office by automobile to pick-up deliver and retrieve mail.
  • Open and sorts mail according to destination and distributes incoming mail and collects, seals, stamps and records outgoing mail.
  • Weighs mail to determine that postage is correct.
  • Keeps record of registered mail.
  • Keeps an inventory of all supplies in the stockroom.
  • Prepares an office supply purchase request on a monthly basis for replenishing stockroom.
  • Receives, fills and logs all office supply requests.
  • Receives, processes, and maintains orders for copier services from individual or departments for producing required pamphlets, directories, publications, etc.
  • Keeps accurate records of all requests and logs them into billing system.
  • Distributes completed orders or notifies department/individuals for pick-up.
  • Reports mechanical failure to technician for repair and keeps records of regular maintenance of machines.
  • Moves and assembles office furniture.
Front Desk
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access.

Education and/or Experience

High school diploma or general education degree (GED); and six months of related experience and/or training; or equivalent combination of education and experience.

Language Skills

Must be bilingual and have the ability to read and comprehend simple instructions, short correspondence, and memos in both English and Spanish. Ability to write simple correspondence.
