Bilingual Receptionist

Summary Operates multiline telephone system to answer incoming calls for multiple companies and directs callers to appropriate personnel by performing the following duties. (bilingual Spanish/English a must).

  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel, oversees visitor sign out; ensures compliance with company security policies with reference to on-site guests/visitors.
  • Scheduling Calendar: maintains the scheduling of all of the conference rooms and the conference bridges by receiving meeting details from personnel then entering the information into the calendar and send out meeting request to attendees.
  • Back-Up to the Office Services Clerk; with mailroom activities, production activities and other special projects, as assigned.
  • Assist the Facility Manager and Director of Operations with memos, correspondence, reports, and other clerical items.
  • Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain reasonably regular, punctual attendance consistent with the ADA, FMLA, other federal, state, and local standards, and company attendance policies and procedures.
  • Ability to come to work and work the regular schedule and shift for the position.
  • Compliance with all personnel policies and procedures.
  • Perform additional duties and related essential duties as assigned.

Education and/or Experience

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Must be bilingual and have the ability to read and comprehend simple instructions, short correspondence, and memos in both English and Spanish. Ability to write simple correspondence.
